Create and Manage Extensions

Each team member has a unique extension, an app sign-in and a set of calling permissions. Create members before building ring groups, queues or call flows so that those destinations can refer to the correct people.

Add one member

  1. Open the SessionPBX project in the SessionCloud portal.
  2. Select Team Members.
  3. Select Add member.
  4. Enter a unique Extension, the person’s Display name and their Email address.
  5. Choose Agent for a standard user or Admin for a person who needs the member-side administration and supervisor tools.
  6. Select Add member.

When an email address is supplied, SessionCloud sends the member an invitation containing their app downloads, workspace address and provisioning credentials. The generated provisioning password is also shown once to the administrator.

New members start with voicemail, messaging and video enabled. Call recording, record-all and outbound public calling are off by default.

Import members from CSV

Use a CSV import for a larger team:

  1. On Team Members, select CSV template.
  2. Complete one row per member.
  3. Do not reuse an extension or email address.
  4. Return to Team Members, select Import CSV and choose the file.
  5. Review the result table for rows that were created or rejected.

The template supports extension, display name, email, role and the principal feature switches. Keep boolean values consistent with the supplied example.

Edit a member

Select the edit button beside a member to change their profile and phone behaviour.

Identity and access

  • Display name and avatar appear in the team directory.
  • Email is the member’s sign-in name.
  • Role controls access to member-side administrative tools.
  • Active suspends both calling and messaging when switched off.
  • Change extension renumbers the member. Their SessionCloud app reconnects automatically after the change.

Feature switches

  • Voicemail enables the member’s personal mailbox.
  • Messaging enables team chat.
  • Video permits video calls.
  • Call recording allows recording for the member.
  • Record all calls applies automatic recording and requires Call recording to be on.
  • Outbound PSTN allows the member to call public telephone numbers through an outbound SIP trunk.

Recording is off by default. Before enabling it, establish a lawful recording policy, tell affected users and callers where required, and define who may access or retain recordings.

Outbound caller ID

Choose Default (trunk number) to use the trunk’s default caller ID, or select one of the workspace’s inbound numbers. The selected number must belong to this SessionPBX workspace.

Your carrier must also authorise that caller ID. SessionTalk cannot make a carrier present a number that the carrier rejects or replaces.

Call forwarding

You can forward calls Always, When busy or on No answer. Each rule can send the call to:

  • Another member
  • A ring group
  • A queue
  • A call flow
  • An external telephone number

Enter external destinations in international E.164 format, for example +442071234567. An Always rule bypasses normal ringing for that member.

Resend an invitation

On Team Members, select the invitation button beside the member. Resending rotates the provisioning password and sends a new invitation.

Because the old password is replaced, use resend only when the member is ready to reprovision any affected devices.

Disable or remove a member

Turn Active off to suspend an account without deleting it. Remove the member only when their extension and messaging account should be deprovisioned.

Before deletion, check whether the extension is used by a ring group, queue, call flow, inbound-number route or another member’s forwarding rule. Update those destinations first.

Manage seats

The top of Team Members shows included, purchased and available seats. Select Manage seats to change the number of additional seats and review the prorated charge before confirming.

Next, install and provision the member’s apps.
